How Do I Create a Multi-Day Booking?
Great news - You just booked a multi-day event! To create a multi-day Event with just one proposal in Gather, follow these steps:
1. Create a Master Booking
‘Create New Booking’ to act as your Master Booking. We recommend putting some kind of notation that this is the Master Booking, so you know this is the event you will be working out of internally and sending the proposal through!All of the information regarding the entire event will be stored in this Booking. This way, you will have one single Proposal/Contract, BEO, Invoice, etc. associated with the multi-day event.
We recommend adding an Event Note stating the event date range/times on the Details page as well. This will display front and center on the Guest Portal as well as on your documents.
You may have a special policy for your multi-day events. If that is the case, the policy can easily be updated by clicking 'Edit Policy' on the righthand side of the screen. This is a great place to denote the length of the event.
Next, navigate to ‘Event Summary’ and select all of the necessary menus plus Custom Fees or Discounts for the entirety of the event. This will give you a grand total for the entire multi-day event under the Financials tab.
Gather Tip: Update the names of your menus to denote which day they will be used for!
After reviewing all the information, send out the proposal to your guest for review and approval! This 'MASTER' event will be used for proposal approval and all credit card or payment requests. Below you can find additional steps to block the event off on your calendar.
2. Block the Multi-Day Event on your Calendar
Once you click 'Copy Booking', we suggest unchecking all Booking Data so only required fields, Booking Details and Contacts, copy. As the copies are intended as a Calendar notation, this will prevent you from mixing it up with your 'MASTER' event!
Once you have de-selected the Booking Data, click 'Copy' to duplicate your event.
Great News! You are now in the Booking Copy, which will be noted by '(Copy)' after the Event Name.
Simply select 'Edit Booking' to update Event Details such as Date and Time! We recommend updating the Event Name with the date (for day 2 of the event, and so on) and the rooms that are being used that day. Don't forget to save!
Repeat 'Block the Multi-Day Event on your Calendar' steps for each day of the event until it is blocked off for the entire date range on your calendar!
