How Can I Remove Guest Data from Gather?
Manually Removing Data from Gather
Gather is a SaaS application that can be used to store information on individuals, but as Gather does not control how customers handle, collect, or distribute data with our system, and as we do not have detailed information on our customers’ business, we have provided functionality that allows for retrieving and deleting, or updating, guest data from within the system.
In situations where a guest’s information needs to be removed from the system, we recommend using the universal search feature to locate any contacts or accounts related to that guest. From the Account or Contact detail screen you can delete or update that record, which will remove/update it from any associated bookings as well. You can also use the universal search to locate any Lead or Booking that has the guests’ information, and update the lead/booking as needed.
Requesting Gather to Remove Guest Data
When necessary, customers can send an email to firstname.lastname@example.org with a guests’ name, email, and/or phone number, and Gather will delete that guests’ data from the system within 30 days of the request and provide a confirmation of deletion to the email address that the request came from.
Only requests for deletion, in writing, via the aforementioned email address will be processed. Verbal requests for deletion, or any request to modify user data, will not be processed by our automation tool. If the guests’ information cannot be located in the customers’ data, Gather will send a confirmation that the guest data does not exist in the system.
In order to ensure that the correct guest is identified and removed from Gather’s system, please provide as much information as possible on the guest. If you are able to locate a contact within Gather for that guest, providing the URL within Gather to that contact would be best. Otherwise, please provide the guest’s name, phone number, and/or email address.
Gather’s deletion process is automated and will remove the matching contact(s) from any booking(s), locate any leads with the guest’s information and erase that data from the lead, as well as delete the messages from any leads and bookings associated with that guest.
Gather will locate any contact(s) that have the information that was provided and remove the contact from any bookings that it is associated with, and then delete the contact. The information that exists within a contact is:
Name (first and last)
Phone and Fax Number
Address (Street Address, City, State, Zip, and Country)
We will also locate any lead that has the same information from the contact and remove any information that could be used to identify the guest. The lead itself will not be deleted, so that reporting is unaffected.
Gather will also delete all messages that are associated to a lead or a booking that the guests’ information was tied to as well. This is to ensure that any identifiable information, such as the guest’s email address, is removed from Gather entirely.
