What are Automatic Documents?
Gather automatically generates a handful of Documents for every single Booking that you create!
These Documents are found by clicking into a Booking, and then navigating over to the Documents tab:
To open these up, just click the arrow button to the right of each Document!
Note: After opening this .pdf Document, you'll have the option to either Save or Print it in the upper right-hand corner.
So what are all of these Documents? Let's review!
The BEO (or Banquet Event Order) is a summary of the Event. In this Document, you'll find Event Details, Notes, Customer Details, a full Financial Walkdown, and Menu Information.
2. Chef BEO
The Chef BEO is a handy Document you can use for the back of house. In this Document, you'll find Event and Menu Details (pulled from the Event Summary tab) without Financial information. That way, your kitchen knows what they need to cook, and by what time!
3. Front of House BEO
The Front of House BEO is a combination of information from the Chef BEO and BEO to create an internal master document! In this Document, you'll find everything included in the BEO plus any internal Notes and the event status.
The Contract Document outlines your restaurant's Event Policies. Here, you'll find Event Details and Policies.
5. Credit Card Authorization Form
The Credit Card Authorization Form is a form that your guest can fill out to provide credit card information. It's a .pdf, so they'll print it out, write in their credit card info, and then send it back to you for your records.
The Invoice is where you'll find Event Details and a full Financial Walkdown, along with any completed transactions!
The Menu Document presents the chosen menus for a Booking in a simple, easy-to-read format. It pulls directly from an Booking's, Event Summary tab.
8. Signed Proposal
Located at the bottom of the Documents page, the Signed Proposal is an e-contract.
It is generated automatically once your guest approves the Event Proposal, and it is a legally binding contract between you and your guest.
In this Document, you'll find everything about your event: Event Details, Customer Details, a full Financial Walkdown, Menu Information, and your Event Policies. Every page is time and date – stamped with the exact moment that your guest approved the Proposal. It has everything that your guest agreed to, and when they agreed to it!
Any time you Reopen and Resend a proposal to your client, Gather will keep a record of each Signed Proposal in Saved & Uploaded Files!
